School Parent Communication Protocol
Baystate Academy Charter Public School prides itself in welcoming parent participation and involvement. We are eager to accommodate your needs, questions, and concerns in the most efficient manner. The BACPS staff communicates often to keep parents informed of school events and procedures. Because our primary concern is of the well-being and education of our students, the BACPS staff is committed to open, honest communication with parents. Despite our very best efforts, questions and concerns do arises. BACPS encourages parents/guardians to address their questions and/or concerns directly with the teacher or the individual staff closest to the source of the question. For example, the child’s teacher is the most appropriate person with whom to speak regarding a question about his or her school progress, classroom behavior, and educational program as he/she is most familiar with the child.
The school has guidelines that allow for equity and consistency as we serve our students and families. It is our belief that school community understands that clear, two-way communication is a vital component to a healthy school environment. If you have a question or concern, please follow this communication protocol:
1 – Contact with your child’s teacher or crew teacher who is closest to the source of your question. If the teacher does not respond within 48 hours or if there are still unresolved issues following initial contact, please contact the school principal.
2 – If the concern is not addressed with the proposed resolution by the appropriate teacher or staff member, please contact the Guidance Counselor, Dean of Students, Director of Special Education or Social Worker. If the parties does not respond within 48 hours or if there are still unresolved issues following initial contact, please contact the school principal.
3 – If the concern is not addressed with the proposed resolution by the above mentioned individuals, you should contact the principal, Joretha Lewis, email@example.com| 413-366-5100 . If the principal does not respond or if there are still unresolved issues following initial contact, please contact the Executive Director.
4 – If the situation still remains unresolved, you should contact the Executive Director, Timothy Sneed, firstname.lastname@example.org|(413) 366- 5100 Depending on the situation, the Director may refer parents/guardians to a specific department or person.
5- If the situation still remains unresolved, you should place your concern in writing to the Board of Trustees. Your written request should be mailed to the following address.

Response Time Frames
Every effort should be made to respond in a timely manner, whether the response is required from the home to the school, school to the home, or among schools and/or departments. While there is no guarantee on the specific time frame for a response due to unforeseen incidents, generally families can expect a response within two (2) business days. Be advised that although staff members use a communication channel that lends itself well to quick communication (e.g., email or social media), doesn’t mean they can always respond just as quickly as that format allows.
